InConventus has been supporting institutions since 2016 and works with over 100 groups each year. We work directly with hotels and service providers to create a customized program that meets your group’s academic goals. We don’t offer pre-packaged programs; everything is tailored to your needs.

We will send you a proposal form that outlines the required information. If it’s easier for you to provide your own document with the relevant details, we are happy to work from that too.

To confirm, simply contact us with the details of your accommodation preferences. Once we’ve secured the hotel, we’ll send you all the necessary information, including the address and website.

For most groups, a deposit is needed 3 to 4 months before the program starts. In some cases, we may ask for a deposit earlier, especially if specific tickets or hotel arrangements are required. We are flexible with payment dates whenever possible.

Once your program is confirmed, we will stay in regular communication. Your dedicated contact will update you via phone, email, and video calls to ensure everything is running smoothly.

Our goal is to provide proposals within one week. Since all our programs are customized, this process may take a little longer. If you have a tight deadline, we will work to meet it.

InConventus provides a range of services, including accommodation, transportation, and site visits. We can also arrange guest lectures and academic visits to help enrich your group’s experience.

Yes! We have access to over 200 guest lecturers, 500 site visit options, and connections with universities across Europe, USA, Canada, Asia. We can also arrange for in-country adjunct faculty to teach courses for longer programs if needed.

We support programs of all lengths, from a few days to a full semester. If you’re planning a semester in London, our Academic Programmes team can help with adjunct faculty and educational services.

Final numbers are due 4 weeks before arrival. Changes in participant numbers after this time are subject to availability.

Yes! We’ve worked with schools, businesses, NGOs, professional groups, and even sports teams.

We try to be as flexible as possible. Ideally, any additions should be made at least two weeks before your group arrives, but we’ve made last-minute adjustments for groups even after arrival.

Yes, initially you will work with our Partnership Development Manager, followed by a contact from our Academic Programmes team who will assist you as your program approaches.

Yes, we work with over 70+ institutions and would be happy to provide references.

We aim to include hotel information in your proposal when possible. If we are unable to confirm the accommodation at that stage, we will provide the details as soon as it’s confirmed.

All prices include VAT, but gratuities are generally not included, except for group meals. If you’d like gratuities to be added, we can arrange that.

InConventus holds both Employers and Public Liability insurance. These documents are available at our Study Centres and can be emailed upon request. We recommend participants arrange personal travel insurance as well.

Our proposals typically require a minimum of 10 participants, but if your numbers drop, we will work to maintain the original pricing where possible.

We offer both itemized and packaged proposals. We usually provide itemized proposals so that you can see exactly what’s included, which also offers flexibility for changes in exchange rates or participant numbers.

Your proposal will be personalized and may include suggestions for guest lectures or site visits, depending on your budget and program objectives.

Our management team frequently visits European countries, the U.S. and Canada and would be happy to meet with you if they’re in your area. Alternatively, we can arrange a Zoom or video call.

Yes, it’s important to provide a rooming list, as assigning rooms is the group leader’s responsibility.

Yes, we can help with hotel or apartment accommodations, and our support services are optional.

During summer and winter breaks, and sometimes throughout the academic year, we can arrange apartment accommodations for stays of two weeks or more.

We will provide full details in advance, and a conference call will be scheduled to go over everything before you arrive.

We provide all groups with an itinerary that includes InConventus emergency contact information. Our team is available 24/7 in case of any issues.

We aim to meet with you during your stay, and after the program, we’ll send you a link to our online survey. We can also arrange a debrief via Zoom or phone.
